English/French Odoo role-based training and document acceptance plan for Canada

CanadaOdoo 19Bilingual trainingRolesDocument acceptance

1. Build the training and document-acceptance matrix by role

Name a learning owner and a practice assessor for cashier, branch manager, receiver/counter, purchaser, accountant, tax reviewer, controller, payroll reviewer and administrator. For each role, record required access, intended denial, routine task, exception, source document, output to sign and adoption evidence. A generic application tour is not an assessment.

Use sandbox identities and synthetic data. Do not place passwords, certificates, private keys or full banking credentials in the training plan. Every exercise has an expected result and a reviewer; a watched video alone is not proof of competence.

Reviewed 6 November 2026. Revalidation owners: learning lead, process owners and tax, payroll, bank and provider reviewers before material updates or operational use.
  • Role and learner: __________
  • Access and intentional denial: __________
  • Routine, exception and synthetic data: __________
  • Document/output to accept: __________
  • Assessor and remediation: __________

2. Create a working English/French glossary and document convention

Agree which terms users need in each language and which Odoo screen labels remain English so they can be found in the UI. French instructions use professional Canadian French, including TPS/TVH/TVQ, ARC, Revenu Québec, lieu de fourniture, fournitures taxables/détaxées/exonérées, produire une déclaration, CTI/RTI, RPC/RRQ, AE, RQAP, relevé d’emploi and TVD du Manitoba.

Keep the official English PST acronym for British Columbia and Saskatchewan. Record each term, screen label, jurisdiction, definition, example and owner so users have stable Odoo and accounting vocabulary across task cards and acceptance documents.

  • Term and language version: __________
  • English Odoo screen label to retain: __________
  • Jurisdiction and approved definition: __________
  • Learner/reviewer evidence and date: __________
  • Terms requiring user clarification: __________

3. Train the cashier on sale, return, cash and recovery

The cashier creates identified and walk-in sales, applies a discount, takes payment, processes a return, prints a receipt and closes a POS session. Include taxable, zero-rated and exempt examples and a long English/French item description. The receipt must match order, tax display, payment and expected journal result.

The CAD record uses Cents and 0.01 rounding; practise expected-value cases in the discovery workbook. The penny-withdrawal rule applies only to final cash after GST/HST when pennies are unavailable; non-cash payments settle to the cent.

Practise offline POS only with synthetic orders. Payment terminals, customer registration and real-time stock need connectivity; requested invoices follow reconnection. The cashier must not close or reload the browser or clear site data before synchronization finishes. After synchronization, the cashier compares local and server order references and states.

4. Train the branch manager and receiver on physical and stock controls

The branch manager checks router and backup connectivity, printer, scanner, cash drawer and payment terminal, then signs opening and counted cash, session close and branch-day close. The receiver performs receipt, return, transfer, count and stock adjustment with item, warehouse, quantity, value and account evidence.

Odoo 19 landed costs can allocate eligible freight and other charges. Practise a scenario in which a freight bill arrives after one partial sale and before another, checking AVCO/FIFO prerequisites where required and validating Standard Price separately. Quantity without value or an unexplained late-cost adjustment prevents acceptance.

Both roles perform an outage recovery: wait for synchronization, compare local/server order counts and states, then reconcile payments, stock, invoices and uninvoiced orders. A session-level accounting document is not treated as statutory or bank proof.

5. Train the purchaser on suppliers, tax and document acceptance

The purchaser creates a supplier, purchase order, receipt, vendor bill, credit note and partial payment. Include a local and imported purchase, a return, an advance and a late cost. Match each supplier bill to its source, tax treatment, inventory movement, entry, open balance and bank reference.

Use place-of-supply guidance and supply-type distinctions rather than copying a supplier's old tax code. The CRA table provides general rates, while BC PST, Saskatchewan PST and Manitoba RST/TVD remain jurisdiction-specific.

Quebec is not an HST province. QST is calculated on the selling price excluding GST. The combined rate is 14.975% (5% GST plus 9.975% QST), not a 14.975% QST rate. The purchaser records the decision in the discovery workbook and signs document, stock and open-item evidence with the accountant.

6. Train the accountant, tax reviewer and controller on reconciliation

The accountant maps the chart, fiscal positions, journal entries, reports, open items, advances and bank reconciliation. The tax reviewer tests place of supply, taxable/zero-rated/exempt treatment, ITC/ITR and report sign-off. The controller reviews permissions, approval trail, residual ownership and close evidence.

Training distinguishes Odoo report preparation from CRA-certified third-party filing software. Tax-return documentation and “Mark as Submitted” do not transmit a return, and Odoo was absent from the CRA certified software list dated 4 November 2026. Learners record the report prepared, external filing owner and evidence required in the discovery workbook.

Use the discovery workbook to distinguish Revenu Québec's general administration from the SLFI exception and to assign filing-channel, ITC/ITR, Avalara and electronic filing mandate reviews. Excise support is not claimed.

7. Separate payroll reviewer and administrator responsibilities

The payroll reviewer records employer, work location, province of employment, worker category, pay elements and year-end responsibilities. Canada is absent from the Odoo 19 payroll-localization list, so no standard CPP/QPP, EI/QPIP, TD1, T4/T4A, RL-1, ROE or employer-levy compliance is taught.

Province of employment, not residence alone, determines CPP/QPP and federal/Quebec EI premium distinctions. QPP/QPIP and Quebec provincial income tax go to Revenu Québec; applicable federal deductions go to CRA. T4/T4A information returns are filed with CRA using the T4 guide and electronic-return overview; RL-1 is filed with Revenu Québec, and ROEs go through Service Canada. A Quebec employee may require both T4 and RL-1, with Quebec provincial income tax on RL-1, not T4. Use Quebec employee treatment, T4001, Revenu Québec remittance, RL-slip guidance, federally regulated industries and ROE through Service Canada. The vendor-only canada_payroll_knk is not standard or independently verified.

The administrator configures sandbox roles, intentional denials, backups, restore evidence, external-service access and credential custody. Hosting and data-transfer review do not imply Canadian residency. The administrator also proves that an old feed cannot recreate unapproved records after migration or rollback.

8. Assess every learner with routine and exception evidence

Each learner performs a routine and an exception without coaching, then explains the source, entry, document, report and person who accepts the result. The assessor records success, error, coaching required, repeat result and evidence location. Do not pass someone because they watched a demonstration or found the correct menu once.

Include a rejected import row and its dependants, an FX residual, a tax treatment requiring adviser review, a POS outage and a bank reject. The learner must stop the relevant workflow, preserve evidence, escalate and avoid duplicate records using version-matched sandbox screens and task cards.

  • Routine performed independently: __________
  • Exception and intended stop: __________
  • Document, entry, report and sign-off: __________
  • Error cause and remediation: __________
  • Repeat result and assessor: __________

9. Transfer materials, champions and adoption-based hypercare

Give champions the task cards, glossary, assessment standards, sandbox data, issue log and update responsibilities. Keep glossary entries, examples and source labels consistent across task cards and acceptance documents.

Hypercare ends when agreed role assessments, branch closes and blocking-defect resolutions are complete. New screens, procedures, sources, banks, providers or payroll decisions trigger material review and targeted retraining with version-matched sandbox screens and task cards.

  • Champion and material custodian: __________
  • User-reviewed glossary evidence: __________
  • Open defects and owners: __________
  • Hypercare exit criteria and sign-off: __________
  • Next material review and retraining: __________

10. Use the workbooks as continuing operating evidence

Start with the tax and bilingual discovery workbook to capture sources, entities, supplies and responsibilities. Use the CAD reconciliation workbook to rehearse migration and sign control totals, and the branch/POS checklist for device, cash, outage and close acceptance.

The QuickBooks and Zoho Books comparisons help source-specific practice. Review Odoo subscriptions separately from training scope and keep client effort visible. Every guide links the other three so role evidence remains connected rather than becoming a one-off presentation.

Each exercise records the learner's practical result and the professional or provider reviews still required. Assessment is based on performed work and adoption evidence.
