MYOB to Odoo migration for Australian organisations

Begin with the MYOB product, version and company file

MYOB migration cannot start from a generic product logo. Identify the relevant MYOB product families and versions, desktop and online operation, the company files in use, where each file is hosted, which users maintain it and whether payroll, inventory or connected services form part of the operating record. A file that looks similar to another entity's file can still contain different fields, tax codes and historical practices.

Document why the organisation is changing its systems and test that reason in Odoo 19. Multi-entity controls, warehouse processes, project reporting or operational integration may justify a programme, but this guide does not rank MYOB against Odoo. It defines the evidence needed for a controlled Australian migration.

Reviewed 6 November 2026. General implementation guidance only; it is not tax, payroll, employment or legal advice. Confirm your obligations with a qualified Australian specialist. Product-version and export findings must be reconfirmed against the client's actual environment.

Build a company-file and export inventory

Create a separate inventory for every MYOB company file. Record the file identifier, entity and ABN, base currency, GST-registration status, conversion and current periods, locked dates, user access and intended cutover moment. Preserve source reports before cleansing so later transformations can be traced to an approved baseline.

Do not invent one uniform export. The available assistant, report, file format and field set depend on the actual product and version. For each object, record the screen or report used, filters, column headings, encoding, date and decimal formats, row count and control total. Where a required relationship is absent, choose an alternative evidence source or an approved exclusion instead of guessing values.

Replace every synthetic example with your own evidence, assign an owner, record the evidence and result, and mark each item Passed, Blocked or Not applicable.

  • Product family and version: client-confirmed MYOB product family, edition and build. Owner: source-system owner. Evidence: product screen and version register. Result: Blocked pending client evidence.
  • Company file: Example Northern Traders file. Owner: entity finance owner. Evidence: read-only backup and report fingerprint. Result: Blocked pending client evidence.
  • Export route: named report with a date filter. Owner: extraction operator. Evidence: raw file, parameters and row count. Result: Blocked pending client evidence.
  • Locked period: client-confirmed cut-off. Owner: finance controller. Evidence: locked-period and opening-position agreement. Result: Blocked pending client evidence.

Map cards, jobs, categories and local structures

MYOB cards can encompass customers, suppliers, employees and other parties with different addresses, identifiers and payroll relationships. Cleanse duplicates through named business decisions rather than merging on a card name. Retain every original card identifier in the mapping so historical documents and integrations retain their lineage.

Jobs and categories may support project, branch, cost-centre or management reporting. Review actual reports and blank or combined values before selecting Odoo analytic accounts, projects, departments or another target concept. Custom lists, identifiers, memo fields and recurring transaction references may carry operational meaning that a standard ledger report does not show.

Tax codes, freight, deposits, customer and supplier terms, item selling details and payment methods also need explicit mappings. The target design should preserve the business meaning of each field, not reproduce every historical label. Process owners approve a representative report comparison before transformation rules are locked.

Reconcile GST treatment and BAS workings in context

GST is 10% on taxable supplies only. Map taxable, GST-free, input-taxed and out-of-scope transactions from their actual MYOB use and supporting evidence, not from a code abbreviation alone. Eligible purchases used to make GST-free sales may qualify for GST credits, while purchases used to make input-taxed sales generally do not qualify. Out-of-scope and not-reportable labels require separate review and are not synonyms for either treatment.

Include sales and purchases, credit notes, bad-debt or adjustment scenarios, missing documents and mixed transactions in the review pack. The ATO's A$82.50 including GST tax-invoice threshold is conditional documentation context, not automatic credit entitlement. Imported goods and offshore purchases need a transaction-specific decision; conditional reverse charge is not deferred GST.

Use the Odoo 19 Australian localisation to configure and review GST grids, BAS and TPAR outputs. There is no direct BAS lodgement in the reviewed documentation, and deferred-GST balances remain manual. Reconcile against the issued statement, actual GST and PAYG cycles, instalment notices and any tax-agent concession rather than a generic due-date calendar.

Establish AUD and rounding expectations independently

AUD is ISO 4217 code 036 with two minor units, while the Odoo 19 AUD record uses a 0.01 rounding factor. That does not determine all unit-price, tax, discount, payment, FX or cash-rounding behaviour. Configure and test those paths separately, using the client's actual products, terms and transaction patterns.

The reconciliation register holds the company file, card or item identifier, source document and line, original amount and currency, exchange-rate date and source, expected and actual AUD, GST, debit and credit totals, residual and approver. Test A$0.01, A$0.04, A$0.05 and A$0.09, with -A$0.01 and the other negative equivalents, plus credit notes, partial payments, large values and mixed currencies without a universal tolerance.

A cash-rounding difference is not an acceptable explanation for an incorrect tax calculation, and an FX difference is not a migration residual to be ignored. Each difference receives a category, reason and owner. Use the AUD field guide to construct the test rows before running the import.

Decide the fate of open items, stock and source documents

Open sales and purchases require their original dates, terms, tax, currency, payments, deposits, credits and outstanding balances. Reproduce the allocations needed for future collection and payment, and reconcile them to aged balances at the same cutover moment as the trial balance. Do not duplicate a document through both an opening journal and an open-item import.

Inventory decisions cover item types, units, locations, quantities, cost and valuation, including inactive items still referenced by open transactions. Operations and finance sign different parts of the evidence. Attachments or linked documents need an object-by-object inventory, source reference, access decision and readable target or archive location.

Historical invoices, purchase orders, sales orders and recurring transactions are not automatically one dataset. Decide which open operational documents must continue, which closed history is needed in Odoo and which remains in controlled read-only retention. Record reporting and audit reasons for each choice rather than saying that everything will move.

Rebuild bank and payment controls around evidence

For every account, identify the last reconciled MYOB statement, unpresented items, historical statements and target feed-start position. Basiq and Consumer Data Right access is opt-in and depends on the provider, institution and account. Test available history and non-real-time behaviour, and retain statement import as a controlled fallback where appropriate.

Use boundary-day tests to detect missing or duplicated statement lines when history and live feeds meet. Reconcile bank balances and uncleared items separately from the general ledger so one cannot conceal a problem in the other. The bank synchronisation reference is a product guide, not proof of account coverage.

ABA file generation or upload is not supplier-payment proof. Bank approval, debit, settlement and reconciliation require separate evidence, and rejected or corrected files need their own procedures. Tyro, Stripe or another payment path is validated only for the exact provider, merchant, device and production flow used by the business.

Treat payroll business flows, history and YTD as specialist work

Identify where MYOB payroll is the system of record, which company files contain employees and how payroll postings relate to the ledger. Inventory employee categories, awards or agreements, allowances, super funds, pay events, payment summaries, YTD balances and opening liabilities. Accounting history alone does not recreate this information.

The reviewed Odoo 19 Australian payroll documentation identifies business-flow exclusions for Foreign Employment Income (FEI), actors and performers, death-benefit reporting, withholding payer number (WPN) instead of an ABN, and allowances subject to varied withholding. These are not only YTD-import exclusions. Affected populations are outside standard Odoo Australian payroll scope and require joint Odoo and specialist assessment before configuration or migration. Preserve source evidence and record each assessment and disposition.

Single Touch Payroll (STP) Phase 2 reports, PAYG withholding, PAYG instalments, BAS and SuperStream are distinct controls. From 1 July 2026, a QE-first design uses qualifying earnings and super liability. The ATO also accepts super liability plus ordinary time earnings (OTE) until 30 June 2027, so OTE submissions are not impossible during that transition. Legacy quarterly payment assumptions do not replace Payday Super deadlines. Test the deployed Odoo 19 build and SuperChoice arrangement instead of assuming that a payroll-history export establishes future compliance.

Rehearse transformation, rejection and reconciliation twice

Create stable external IDs from the company-file namespace and durable MYOB identifiers. Card names, job numbers or invoice numbers alone are unsafe where entities or periods overlap. Define dependencies between accounts, tax records, cards, items, jobs or target dimensions, documents, payments and inventory before the first load.

The first of two rehearsals tests the export route, transformation, dependency order, rejected rows and rerun behaviour. The second uses corrected near-final files and includes attachments, integrations, user roles, payroll decisions and the full financial and operational reconciliation. A corrected row must create, update, skip or reject according to a documented rule.

Odoo's CSV/XLSX import tools perform permanent imports; they do not constitute a native one-click or complete-history MYOB conversion. Keep rejection logs and targeted rollback instructions. Generic import success does not approve the accounting, stock or payroll meaning of the data.

Cut over with source access and named acceptance

The runbook names the final company-file backup, locked-period decision, last transaction entry, final exports, delta handling, integration redirection and release authority. Users know when MYOB stops accepting new transactions and how late corrections are handled. Source files remain accessible under the agreed retention and read-only policy.

Acceptance covers the trial balance, open receivables and payables, applied payments, inventory, GST workings, bank positions, attachments and payroll scope. Finance, operations, payroll and data owners sign within their areas. Any residual has a reason and owner, and a failed critical control invokes the documented stop or fallback route.

Acceptance applies to the named Odoo version and deployed build; later versions require separate assessment. Changes to the deployed build, MYOB extraction route or provider behaviour after the second rehearsal trigger targeted revalidation rather than an assumption of equivalence.

A discovery proposal should identify the company files, product versions, objects, historical periods, reporting structures, attachments, integrations, payroll populations and acceptance reports examined. Implementation phases then state the mapping rules, rehearsal inputs, client responsibilities and provider dependencies. This is more useful than a universal MYOB-to-Odoo checklist or a product-ranking claim.

Oakland services can be quoted in AUD where commercially agreed. Odoo subscriptions, provider and bank charges, archive products, specialist tax or payroll review, hardware, infrastructure, optional travel and client internal effort remain separately identified. No fixed timeline, saving or statutory result follows from the migration scope alone.

Use the migration and AUD guide for reconciliation fields, the GST and BAS guide for transaction evidence and the payroll guide for YTD and role readiness.
