QuickBooks to Odoo for Singapore: a controlled migration

Frame the move around operating evidence

A QuickBooks to Odoo programme begins when the business needs a controlled connection between accounting and purchasing, sales, inventory, outlets or regional reporting. Discovery identifies the workflow that must change, the records that must remain available and the people who can accept the result.

Inventory the actual QuickBooks edition, hosting arrangement, company files, legal entities, base currencies, GST registration periods, users, classes or locations, bank accounts, inventory features and connected applications. Include spreadsheets used for tax adjustments, outlet close or payment reconciliation. A company name alone does not describe the migration source.

Reviewed 6 November 2026 — research review, not legal signoff. Revalidation owner: Compliance reviewer (CR) with the country owner and named client advisers; unresolved human Singapore regulatory review by a qualified Singapore regulatory reviewer remains mandatory before release.

Prove what each company-file export contains

Source-export limitations are a discovery output, not an assumption made from a product brochure. For each company file, preserve a read-only extraction of the chart, contacts, items, tax codes, open documents, trial balance, ageing, bank reports, inventory reports and relevant attachments. Record report name, parameters, cut-off, timezone, columns, row count, file hash and extraction owner.

Compare a small known set across screens, reports and exported rows. Note fields that are absent, truncated, differently labelled or detached from their original allocations. Determine whether older transactions, credit-note links, classes, locations, units, serial or lot information, reconciliation marks and attachments are actually available. Do not promise to reconstruct data that the source and archive cannot supply.

The client decides which detailed history must enter Odoo and which remains in a searchable read-only archive. The decision cites operational, GST recordkeeping and reporting needs. Store the archive location, retention owner and retrieval test alongside the export inventory so that an import gap is not confused with a recordkeeping gap.

Map company-file namespaces, classes and locations

Give every source object a stable external ID that combines the company-file namespace and durable source identifier. Retain that ID on accounts, customers, suppliers, employees where relevant, products, services, tax codes, documents and payment references. Names, invoice numbers or spreadsheet row positions are not durable identities by themselves.

Classes and locations need their own target decisions. A class may represent a department, project, outlet, reporting dimension or something specific to one company file. A location may be an inventory site, a management-reporting dimension or merely a label. Record what each value means in each company file before choosing analytic accounts, warehouses, outlets or other Odoo concepts.

  • Mapping decision: Company-file namespace; QuickBooks evidence to retain: Company-file ID, durable record ID and approved target identity; Acceptance owner: Migration lead
  • Mapping decision: Class meaning; QuickBooks evidence to retain: Source class, management question, target dimension and sample report; Acceptance owner: Finance and operations owners
  • Mapping decision: Location meaning; QuickBooks evidence to retain: Source location, stock or reporting behaviour and target concept; Acceptance owner: Inventory and operations owners
  • Mapping decision: Duplicate resolution; QuickBooks evidence to retain: Every legacy ID, approved survivor and rejected dependency; Acceptance owner: Source-data owner

For Singapore records, review legal name, UEN, addresses, permit references where relevant, GST registration status and bank details with the business owner. The Odoo 19 l10n_sg package supplies localization data, not a ruling on which legacy contact or account should survive.

Preserve GST meaning in company-file tax mappings

Build the tax map period by period. Historical rates, voluntary or compulsory registration intervals, deregistration and re-registration, special accounting periods and adviser decisions can change what a legacy code means. Do not map every old tax label to a current 9% standard-rated code; 9% applies only to applicable standard-rated supplies under the IRAS rate source.

Separate standard-rated, qualifying zero-rated, exempt and out-of-scope transactions using the General Guide. Preserve place and time-of-supply evidence, export or international-service support, exemption rationale and revenue treatment. Out-of-scope revenue enters Box 13 only under the detailed revenue condition; other out-of-scope transactions are omitted.

For InvoiceNow mapping, distinguish standard-rated supplies and purchases, zero-rated supplies and purchases, and exempt supplies only; there is no general exempt-purchase category. Imported services and low-value goods need eligibility and input-tax-restriction analysis before reverse charge is used.

Map the reviewed Boxes 1–21 report data and GST templates, then reconcile sample return workpapers. Neither that data nor the import proves direct F5, F7 or F8 filing.

Rebuild open items and their allocations deliberately

Open invoices, bills and credit notes are more than balances. Capture document identity, date, due date, customer or supplier, transaction currency, original amount, tax lines, amount already allocated, residual payable or receivable, and links to credit notes or partial payments. Aged balances must reconcile to both the detailed open-item set and the trial balance at the same cut-off.

Include part-paid documents, unapplied credits, voids, bad-debt decisions, disputed lines and foreign-currency revaluation where present. If the source export provides only a net balance, record the missing allocation evidence and obtain finance approval for any controlled reconstruction. Do not invent a payment or credit link merely to make ageing agree.

After import, collect and pay against a synthetic copy of each open-item pattern. Confirm the remaining amount, currency, tax history, journal effect and ageing. The accounting reviewer signs the linkage and any residual adjustment; the migration operator's successful import log is not financial acceptance.

Reconcile SGD values and inventory balances

For every monetary test, store source currency and amount, exchange-rate value, rate date and source, expected SGD, actual SGD, residual and owner. ISO and Odoo currency details belong in the SGD migration and reconciliation guide; the company-file review stays focused on whether source and target results agree for explainable reasons.

Use positive and negative values around 0.01, 0.04, 0.05 and 0.09, mixed documents, large values, part payments and credit notes. Test product/pricelist precision, tax calculation, payment rounding, cash handling and foreign-exchange conversion separately. Explain whether each residual comes from conversion, tax mapping, allocation, timing, product precision or a source anomaly.

Inventory requires its own quantity and value bridge. Record item type, unit, warehouse or location, costing method, quantity on hand, valuation, open receipts or deliveries, and late-cost scenarios. A stock quantity export does not prove accounting valuation, and a valuation total does not prove outlet availability. Operations and finance accept their respective evidence before opening entries are approved.

Separate bank connectivity from company-file history

For each account, distinguish the last reconciled source balance, detailed historical statement lines, open reconciliations, future feed start and manual-import fallback. A working future connection does not prove that older history will arrive, and an imported statement does not prove future connectivity.

The Odoo 19 bank-synchronization guide makes connectivity dependent on institution, provider, service and edition, with documented default 12-hour and non-real-time or beta limitations. Record actual availability and feed history for the client's institution. Prevent overlap between imported history and newly retrieved lines using explicit boundary identifiers.

If PayNow QR is used, preserve gross receipt, customer reference, bank settlement reference, fee where applicable, net settlement and reconciliation owner in separate fields. The Singapore localization page supports invoice QR configuration, but a QR image is not payment confirmation, settlement or reconciliation evidence.

Design InvoiceNow and provider work independently

Changing accounting software does not settle the business's GST InvoiceNow trigger. Check the 1 November 2025 voluntary-application rule within six months of incorporation, the 1 April 2026 voluntary-application rule regardless of incorporation or constitution, and the 1 April 2028 scope for all new compulsory GST registrants. Existing-business phases begin exactly on 1 April 2028, 1 April 2029, 1 April 2030 and 1 April 2031; use the full band table and entity-specific IRAS evidence in the readiness guide.

Covered businesses need an InvoiceNow-Ready Solution with the GST submission feature activated; Peppol registration alone is insufficient. The data design covers standard-rated supplies and purchases, zero-rated supplies and purchases, and exempt supplies only.

Both solution-extracted paths need evidence: sales invoices issued outside the Peppol network and purchase invoices recorded in the solution. Access Points do not convert paper or PDF documents into Peppol invoices. Preserve originals, extraction owner, field-confidence review, duplicate controls, accounting links, submission and acknowledgement.

Odoo 19 PINT-SG XML generation and import is not transport, an access-point service or an IRAS connector. Singapore is absent from the reviewed lists of countries eligible for Odoo-operated Peppol registration in Odoo 19 and Odoo 20. This is not a statement that Singapore businesses cannot use Peppol; the separate provider and access-point path must be proven.

The SFFS Odoo page developed by Port Cities Singapore Pte. Ltd. lists InvoiceNow-Ready only; it is not evidence for core Odoo, Odoo S.A., Oakland or F5/F7/F8. Other SFFS and InvoiceNow-Ready Solution Provider (IRSP) rows verify only the expressly named provider products and APIs, not endorsement, security or statutory compliance.

Send the invoice data by whichever comes first: the date the relevant GST return is actually filed or that return’s filing due date. An acknowledgement confirms receipt. It is not buyer acceptance, confirmation of tax treatment, a GST return or payment. Odoo 20 capabilities require a separate comparison of actual manifests and views and acceptance on the deployed build; they are not Odoo 19 evidence.

Rehearse twice and assign role-based acceptance

Run two rehearsals with versioned source extracts and the same dependency order intended for cutover. Foundation records precede contacts and items; masters precede open documents; opening entries, allocations and bank evidence follow their prerequisites. Reruns use stable IDs and documented rejection handling rather than uncontrolled duplicates.

For each rehearsal, produce a pack with source counts and totals, expected counts and totals, actual counts and totals, residual, reason, owner, reviewer and resolution status. Finance accepts trial balance, open items, tax workpapers and bank positions. Operations accepts items, stock and outlet flows. The GST adviser reviews treatment; the provider accepts its own connectivity; users demonstrate their tasks.

The cutover authority reviews freeze rules, final delta, access, provider readiness, unresolved exceptions, archive access and rollback before release. The second rehearsal can expose a defect missed by the first, so neither rehearsal is described as an accuracy guarantee or a predetermined elapsed timeline.

Convert company-file findings into a controlled SGD scope

Scope and evidence should name the company files, class and location decisions, exports, history choice, prototype scenarios, tax mappings, provider questions and acceptance owners. Build phases then quote in SGD against those approved inputs, two rehearsals, integration work, training and release evidence. External subscriptions, provider contracts, hardware, specialist review and client internal effort remain visible.

Use the SGD migration and reconciliation guide for detailed control fields, the GST and InvoiceNow readiness guide for tax and provider decisions, and the POS go-live and recovery checklist where registers are in scope. The payroll boundaries and role-training guide keeps Employment Hero and employee-category work separate from accounting migration.

Provider, access-point and session-company examples are educational only, never Oakland references, recommendations, Singapore delivery evidence or proof of statutory capability. The result to buy is a testable migration and acceptance process, not a ranking, saving, statutory outcome or unsupported completeness promise.
